Automation & integration

What you do by hand today, done on its own

The invoices someone keys in one at a time, the data copied from one system to another, the report put together by hand every month. We build the circuit so it happens on its own, with the tools you already use and with someone on your team signing it off.

Context

The 20th is not a day. It is five.

It starts on the 18th, when the first ones come in. On the evening of the 19th the email from the client who always sends late arrives. On the 20th there are two people downloading, renaming and typing, and a third reconciling against the bank. On the 21st someone finds a forty-euro mismatch and two hours go into chasing it. And none of that shows up on any invoice of yours: you pay for it in salaries, in dinners missed at home and in a foul week afterwards. What we do is build the circuit so that work happens on its own: documents come in the way they already come in, they are read, classified and posted into your system, and someone on your team approves before anything is recorded.

Documents arrive however the client wants: email, WhatsApp, a shared folder or a photo
They are read and classified on their own, including the crooked scans
Someone on your team approves before anything is recorded: you are still in charge
If something does not add up, an alert fires. Nobody finds out three weeks later
Benefits

What do we automate, and what do we connect?

Leads, CRM and sales

Automatic lead capture from any channel, AI qualification, routing to the right salesperson and CRM updates with no manual work. We connect with HubSpot, Salesforce, Pipedrive or Zoho.

Invoicing, documents and ERP

Data extraction from invoices, orders and delivery notes using OCR and AI, sent straight to accounting or your ERP. We integrate with SAP, Odoo, Holded, Sage or QuickBooks.

Customer service and support

Automatic answers to common questions over email, WhatsApp and chat, ticket triage and smart escalation to your team. AI reaches where you already work: Slack, Teams or your inbox.

Internal operations

Automatic reports, syncing between tools, team notifications, alerts when a metric goes out of range, and onboarding flows for new employees or clients.

E-commerce and marketplaces

Automated order handling, inventory, shipping notifications and abandoned-cart recovery on Shopify, WooCommerce, PrestaShop or Amazon Seller.

Marketing and content

Content generation and publishing, audience segmentation and campaign tracking, wired to Mailchimp, ActiveCampaign, Klaviyo, Meta Ads or Google Ads.

Deliverables

What you get

Automation ready for production, not a proof of concept.

The automated workflows live, with logging and alerts for any failure
Configured connectors between your systems: CRM, ERP, communication, store and databases
Technical documentation of the architecture and of every connector so your team can maintain it
Monitoring panel with usage metrics and connection status
Audit log of every action executed against your systems
Human approval on sensitive actions before they run
Test suite against real volumes and a prepared rollback plan
Training for your team, plus maintenance and continuous improvement
How we work

Our method

A structured process that minimises disruption to your operation and delivers implementations that work from day one.

01

Mapping and upfront analysis

We identify and rank the processes with the highest impact and the lowest complexity, and audit your systems: available APIs, data volumes and security constraints.

02

Workflow design

We design the flow covering every case: the normal path, the exceptions and the failures. And we decide the integration approach for each system.

03

Development in a separate environment

We build the automation with logging and alerts configured, always in test environments, never straight into production.

04

Parallel and load testing

We run the workflow alongside your manual process until its accuracy is proven, and test it with real volumes to rule out bottlenecks.

05

Progressive rollout

We switch it on first for a subset of users or processes and then for the whole operation, with close monitoring and a rollback plan ready.

06

Documentation and handover

We document the workflow and every connector, and train your team to run, supervise and change the automation on their own.

Who is it for?

Our integration approaches

API-first

When the system has a well-documented API, we integrate directly. It is the most stable and maintainable approach. Ideal for modern CRMs, ERPs with a REST API and SaaS platforms.

Webhooks and events

We set up webhooks so the workflow reacts in real time when something happens in your systems, with no polling. Ideal for notifications, form triggers and status changes.

No-code connectors

We use automation platforms with ready-built connectors to shorten integration time. Ideal for popular tools, fast prototyping and teams without a developer.

Custom integrations

When no standard connector exists, we build the integration from scratch with clean, documented code. Ideal for legacy software, proprietary ERPs and in-house systems.

FAQ

Frequently asked questions

My clients send their invoices however they feel like. Nobody can automate that.

That is exactly why. The circuit is built around how they send them today, not how they ought to: email, WhatsApp, a shared folder or a photo taken on a phone. And we will tell you up front: a blurry photo with a shadow across it sometimes cannot be read, and in that case the system sets it aside and flags it, instead of inventing a number. We would rather tell you that now than later.

I have been burned before. Why would I trust you?

It is the doubt we hear most, and it is a fair one. That is why the audit is free and the findings document is yours even if you never hire us: you see how we work before paying anything. The quote is fixed from the start, and if you ever want to leave, you take the circuit and its documentation with you.

How much does it cost to automate a process?

It depends on the number of steps, the integrations involved and whether AI is needed inside the flow. A simple process is nothing like orchestrating several systems at once. That is why we always start from your specific case and give you a fixed quote before we begin, with no surprises.

Does it work for my sector?

Almost any process that repeats, follows rules or moves data between systems can be automated, and that exists in every sector: accountancy firms, retail, professional services, industry. What we analyse is not your sector but your tasks: if something repeats and follows a logic, it can probably be automated.

What if my tool has no API?

An API is not always required. Many platforms offer webhooks, scheduled exports or ready-built connectors that are enough to integrate. If there is no official route at all, we look at custom alternatives and tell you plainly what can and cannot be done; if something is not reliably feasible, we would rather say so than promise it.

Can you integrate with legacy software?

Yes. When a system has no modern API, we look for whatever route exists: scheduled exports, database access, automating the interface itself, or intermediate connectors. Before committing we audit the system to confirm what is feasible and within what limits.

What happens if a workflow fails?

We design automations around failure from the start, not just the happy path. Every flow carries logging and alerts, so if something does not go as it should you get a warning and nobody is left in the dark. On top of that, sensitive actions require your approval before they run.

Will you disrupt my operation while you build it?

That is not the idea. We develop in separate test environments, never straight into production, test against real data and switch on progressively: first a subset of users or processes and then the rest, with a rollback plan ready in case something does not fit.

Do I have to maintain it myself?

You do not need to be technical. We document every workflow and train your team to run it, and if you prefer, we handle maintenance and monitoring ourselves. When a tool or a process changes, we adjust the automation so it keeps working.

Where does my data live?

We work within European territory and comply with GDPR. We encrypt the connections, keep your system credentials in a secure store and favour self-hostable tools so sensitive information never leaves where it belongs. Your data is used to run your processes, never to train third-party public models.
